Privacy policy

GymFit is an app and platform that gyms and sports clubs use to manage their members, memberships and attendance. This page explains what we collect, why, and who can see it.

What we collect

• Account: name, phone number, email (optional), password (hashed), language.
• Sport file: photo, date of birth, gender and, when needed, guardian name and phone, licence number and expiry, medical certificate expiry.
• A photo of your ID card if you add one (gyms ask for it before activating a membership), to confirm who you are.
• Memberships, payments, balances and shop orders recorded by the gym.
• Attendance: the date, time and method of each visit.
• Location: only while you use the app, to show gyms near you and, if your gym turns it on, to confirm you are at the gym when you check in. We never track you in the background.
• Workouts, nutrition and progress you enter yourself (optional).
• A push token, to send notifications to your phone.

Who sees your data

• Only staff of the gyms you joined, according to their role. Your ID card photo is visible only to you and to staff of your gyms.
• If your gym uses a fingerprint terminal, your fingerprint stays on that terminal; we only receive the visit log.
• If you join your gym's attendance leaderboard (optional), other members of that gym see your short name, photo and weekly streak.
• AI coach (optional): after you agree, when you use it, your messages and some profile details (such as name, weight and goal) are sent to Anthropic to generate the reply.
• We do not sell your data or use it for advertising.

Retention and deletion

We keep your data while your account exists. You can download a copy of your data or permanently delete your account in the app (Profile → Account). Deleting removes your ID card photo and account data; the gym keeps its own records (memberships, payments, visits) unlinked from your account.

Security

Connections are encrypted (HTTPS), passwords are hashed, and ID card photos are kept in non-public storage.
